How do I book with The Insightful Collective?

New Clients:

If you are new to The Insightful Collective, you can leave your details with us for a call back. We will send you a short intake form ahead of an initial free call to make sure we are the right fit for your therapeutic needs and objectives.

Existing clients:

Typically, your clinician will book your next session at the end of each session. This helps with ensuring availability for your recommended session frequency. You can view your existing sessions in our client portal (external site).

If you do not have a session scheduled, need to reschedule a booking, or create a new appointment please reach out to us by email, phone, or submitting an enquiry by either clicking “Book Now” at the top of the page, or by clicking here.

Note: We will be rolling out the ability for existing clients to book and manage sessions using the client portal soon.

What is Telehealth Psychology?

Telehealth Psychology is the delivery of psychological services through digital platforms, enabling clients to access mental health support remotely. Depending on your preferences, this approach utilises video calls via our Telehealth provider Zoom or phone consultations to provide therapy, assessments, and consultations without the need for in-person visits. Telehealth Psychology increases accessibility, reduces travel time, and offers greater flexibility for clients and practitioners, while maintaining professional standards of care and privacy.

  • We offer standard 50 minute Telehealth sessions.

  • Getting Started

    Once you submit an enquiry, our team will arrange a time for a short introductory call to get to know you a little better and understand your needs. This will help us determine if we are the right fit for you.   

    Before your first session

    Make sure you have a quiet and private space where you can be focussed on your session.

    For Phone sessions, make sure you have good signal and enough charge on your phone. 

    For Video sessions, have a device with internet access, camera and a microphone such as a Smartphone, Tablet, Laptop, or Computer. Read more: Joining a Telehealth Session.

    During your first session

    At the start of your first session, your clinician will review the key points of our intake process including privacy policy, informed consent and confidentiality exemptions.  

    Think of your first session as laying out the building blocks for your treatment, you can share as much or as little as you feel comfortable during the first session. These building blocks will support making treatment goals and establishing the direction for future sessions.  

    At the conclusion of your first session, your clinician will recommend a session frequency plan to help support these objectives.  

  • Our Telehealth sessions are set up to allow you the flexibility to attend in the way most comfortable for you. With all our sessions, we recommend ensuring you have a quiet and private space, and somewhere to write down notes from your practitioner during the session.  

    If you have booked a Telehealth Video session, you can join from any device with an Internet Connection, a web browser, microphone and camera. We recommend downloading the Zoom app (external website) before your session for the best experience.  

    For Telehealth Phone sessions, ensure you are in an area with good phone signal, we will call you directly on the number you have provided to us.

  • Our fees are reviewed annually and updated in accordance with a wide range of factors such as operational costs, compliance requirements, available Medicare rebates, and the Australian Psychological Society (APS) National Schedule of Suggested Fees. In the interest of accessible mental health support, our rates are set lower than the suggested fees.

  • A Mental Health Treatment Plan (MHTP), formerly known as a Mental Health Care Plan (MHCP), is a structured document created by a General Practitioner (GP) under the Better Access Initiative to outline the treatment and support for individuals experiencing mental health issues. It typically includes an assessment of the person’s mental health, goals for treatment, the types of therapy or services recommended, and the roles of various healthcare providers involved in the care.  

    In Australia, a Mental Health Treatment Plan enables patients to access Medicare rebates for services from Medicare Registered allied health providers such as psychologists, social workers, and occupational therapists. This plan supports coordinated care and aims to improve mental health outcomes through early intervention and ongoing support. 

  • To get a Mental Health Treatment Plan, the first step is to schedule an appointment with your GP. During this consultation, discuss your mental health concerns openly. The GP will assess your condition and determine whether a Mental Health Treatment Plan is appropriate. If so, the GP will develop the plan in consultation with you, set treatment goals, and outline referrals to suitable mental health professionals. This process may take longer than a standard consult, so it’s worth confirming with your GP’s clinic prior to booking the appointment. Once the plan is in place, you can access Medicare-rebated sessions with allied health practitioners, usually this is for an initial 6 sessions, but can be extended for up to 10 appointments per calendar year. 

  • After your first session, we will provide a recommendation on session frequency to help meet your goals. This could mean sessions as frequent as weekly or even spaced months apart.  

    The length of engagement and number of sessions varies per person, based on your goals and situation. When starting your journey with us, we focus on understanding your needs to tailor the support accordingly, and we continuously review progress every session to ensure the schedule is still meeting your individual needs.  

    To support this schedule, at the conclusion of each session we will typically look to book your next session.  

    If circumstances change between sessions or you feel the need for additional support, all our clients are encouraged to reach out by phone or email to book additional sessions or bring forward existing bookings. 

  • Thanks to the power of technology, we are accepting clients from all over Australia.

  • The Insightful Collective can support and provide services for National Disability Insurance Scheme (NDIS) participants who are self-managed or plan-managed.

  • The Insightful Collective can accommodate sessions under a private health insurance claim, we will invoice and collect funds from you directly as a Private Client. You can then seek reimbursement from your Private Health Insurance provider in accordance with your policy.  

    We recommend first confirming with your private health insurance provider to ensure you have appropriate coverage.

  • We do not currently accept clients through a Work Cover claim. We are working towards offering this in the future.

  • Appointment reminders

    We will send you an SMS and/or email reminder in the days leading up to your appointment.  

    Payments

    Our practice requires that all clients provide a credit or debit card on file during intake. This helps to ensure a seamless processing of payments and to make space for focussing on your treatment objectives  

    We will invoice you up to 72 hours prior to your appointment  

    For first sessions, a 100% deposit is required when making a booking.   

    For subsequent sessions, we will process payment within 24 hours of invoice being issued.  

    Cancellations

    If we are notified of a cancellation:  

    (a)    With less than 72 hours but greater than 24 hours' notice: then a 50% cancellation fee will apply;  

    (b)    With no or less than 24 hours notice: then the full fee will apply.

    Please note that Medicare rebates do not apply for missed appointments.  

    If you arrive less than 20 minutes late to a scheduled appointment, you may still attend the balance of your appointment time.   

    If you have not arrived within 20 minutes of the scheduled appointment, the appointment will be treated as a cancellation with less than 24 hours’ notice and fees will apply. Your Practitioner in their sole discretion may choose to accommodate a late arrival.    

    Where payment has already been processed and less than 100% cancellation fee applies, you will be offered the option of either a refund or a credit of excess funds carried forward to your next session. 

  • No, there is currently no requirement for face to face sessions with a Psychologist prior to commencing Telehealth Psychology.
